Our organization is looking for one (1) Administrative Assistant, and the

Job Description/Duties:

duties include but are not limited to:
• Greeting visitors and directing them to related department(s);
• Assisting in resolving general administrative problems;
• Providing general administrative and office support including mailing, scanning, faxing, and copying for management;
• Implementing proper procedures for filing and record-keeping of inventory and ensuring that such procedures are followed;
• Maintaining inventory;
• Assisting arrangement of groups for cruise lines, airlines, and hotels;
• Data entry for maintaining QuickBooks client database (also experienced in MS Office);
• Updating addresses from returned mail and publications as needed;
• Assisting in the issuance of tax receipts and invoices;
• Assisting, co-organizing, and co-executing special business seminars and events;
• Scheduling and coordinating meetings, appointments and travel; arrangements for the President if necessary;
• Assisting future hiring(s) on behalf of the President as needed.

• Excellent communication, organizational and time management skills;
• Ability to maintain an environment of rigorous confidentiality within the office;
• Must be a team player, willing to work with others to resolve problems;
• Ability to exercise judgement and initiative to identify and respond to issues before they become problematic;
• Requires excellent oral and written communication skills with the ability to prepare documents, reports, etc., and express ideas clearly orally or in writing;
• Proficient with MS Office applications, Google Calendar and knowledge of accounting using QuickBooks, creating website are assets;
• High-school completion is the minimum requirement; complete
• Completion of post-secondary education or equivalent in related discipline(s) is an advantage.
• Minimum 2 years related experience in administrative and/or related positions in an office setting is an asset;
• Adept knowledge in Asia-Pacific culture is an advantage;
