Reporting to the Vice-President, the Office Manager is responsible for the following duties:
  • Entering all accounts payable, accounts receivable, and payroll;
  • Reconciling the bank account and credit cards to account statements;
  • Generating reports for owner and management team that shows up-to-date financial reporting on a weekly basis;
  • Running bi-weekly payroll using Wagepoint, issuing ROEs on an as-needed basis and T4s on an annual basis;
  • Remitting all taxes payable to the governing bodies (CRA, WCB, etc) and meeting all deadlines;
  • Maintaining employee records;

Coordinating and overseeing administrative duties including
  •  Managing and maintaining office supplies inventory
  •  Communicating/Meeting with Customers
  •  Handling all incoming and outgoing mail
  •  Creating data-tracking spreadsheets
  •  Other administrative supports as necessary
  •  Working with owner and management team to address gaps in the company policy framework and develop operational policies on an as needed basis;
  •  Developing processes to streamline administrative and financial processes
  •  Monitoring office email and ensuring all communications are responded to promptly;
  •  Minute-taking for meetings with management team;
  •  Supervising and training additional office staff;
  •  Special projects on an as-needed basis; 
  • Diploma in Business Administration or Office Administration or equivalent work experience
  • 5+ years of experience in Business Finance and Book Keeping
  • Proficient in Microsoft Office programs, including Microsoft Word and Microsoft Excel and Quickbooks
  • Strong problem-solving skills and the ability to prioritize tasks while working with deadlines
  • Mature, Professional, Organized.
